SafeSchool — An Ark HQ programme

SafeSchool · An Ark HQ programme

Statutory safety, led by experts — not a template.

A six-stage annual cycle run with you by the same SafeSchool team — from onsite assessment to the HSA inspection. Expert-led, or a standalone platform.

SafeSchool
We only work with schools · An Ark HQ programme

Health & Safety, done by people who do this for a living.

A six-stage annual cycle aligned to the HSA Guidelines for Post-Primary Schools — onsite assessment, an action plan written for your school, full compliance documentation, staff training, termly committee meetings, and an annual review. Run with you by the same programme manager, or run by your own team on the SafeSchool platform.

3years of fewer findings

Across all SafeSchool engagements over the last three years. Where findings do come up, they’re flagged before the inspection, not on the day.

Six-stage annual cycle. Same programme manager. Every stage.

02 · Why SafeSchool

Compliance fear is a real cost. You should not carry it alone.

Audit day stress. A Health & Safety Statement no-one has reviewed since the last principal. Risk assessments scattered across half the staff's inboxes. The Board asking pointed questions you cannot answer in the meeting.

Most post-primary schools do not fail HSA inspections because they are not doing the work. They fail because the work is scattered — a checklist on one server, a risk register in a different binder, a near-miss noted in someone's WhatsApp. By the time the inspector asks, no-one can produce the whole picture.

SafeSchool is the missing piece. A six-stage annual cycle, the same programme manager for the life of the engagement, every checklist and incident inside the SafeSchool platform, staff training delivered through our sister programme Ark Academy. Compliance becomes a programme — not a panic.

03 · Two ways to run it

Run it with us. Or run it yourself.

SafeSchool is the same platform either way. What changes is who drives it — a programme manager who knows your school, or your own team with the system at their back. Most schools start with the first and grow into the second.

Done with you · expert-led

The expert-led programme.

The same SafeSchool™ programme manager runs the full six-stage cycle with you — the onsite assessment, the action plan, the documentation, the termly committee meetings, the Board brief you did not have to write. And the inspector on the phone within the hour when one arrives.

For schools that want it handled, by someone who already knows the building.

Done by you · standalone platform

The platform, on its own.

The four tools — compliance calendar, digital risk assessments, digital checklists, incident reporting — running the daily safety operation on web and mobile. Your deputy, your caretaker, every duty teacher, on one system. No programme manager required.

For schools with the capacity, who want the system without the service.

Same platform underneath · same data · move between the two as your capacity changes

04 · The platform

Five tools. One platform.

The day-to-day safety operation, built for the people who do the work — used on a phone in the yard, not typed up afterwards from a clipboard. Pre-loaded with the Irish post-primary calendar and the HSA risk-assessment templates, so it works on day one.

01Compliance calendar

Every statutory date, every owner, every reminder — in one view.

Fire drills, board approvals, Garda vetting cycles, RSE delivery, anti-bullying log reviews — pre-loaded and dated. Owners get reminded ahead of time; a miss is surfaced the same day, not at audit.

02Digital risk assessments

Mobile-completed. Version-controlled. Linked to the activity, not a filing cabinet.

A library of school-specific templates — labs, workshops, sports, trips. Completed on a phone, signed off in the system, expiry tracked automatically. The "which version is current?" question disappears.

03Digital checklists

Daily walkrounds, logged on the spot. Trends surface the pattern.

Caretaker, deputy, duty teacher — whoever runs the walkround uses the same checklist on their phone. Items photographed if needed. Repeat issues across days and weeks get visualised, not forgotten.

04Incident reporting

Log, route, close. Statutory returns generated automatically.

Any staff member can log an incident — accident, near-miss, behavioural, safeguarding. The platform routes it to the right person, timestamps the closure, and exports the end-of-year statutory return as a button, not a scramble.

05H&S Statement & records

Your Health & Safety Statement, live — and every record in one place.

The statutory Health & Safety Statement, kept current as the school changes — not a document last reviewed under a previous principal. Every risk assessment, checklist, incident and certificate filed alongside it, so when an inspector asks, the whole picture is one login away.

05 · The expert-led programme

The expert-led programme. Six stages, one annual cycle.

This is the expert-led wrap around the platform — what the programme manager does with you over a year. Built to the HSA Guidelines for Post-Primary Schools and refined across 350+ engagements over ten years. Every stage runs on a known cadence — no scrambling for an inspection that arrived without warning.

06 · Who it is for

Built for the Principal. Useful to everyone underneath.

Every SafeSchool engagement is signed off by the Principal — the named accountable person. The Deputy and the Board get what they need from the same programme; they do not have to become compliance experts to do it.

For the Principal — the decision-maker

"I want to walk into an HSA inspection without losing sleep."

You are the named accountable person. The risk lives with you. SafeSchool gives you a programme manager who knows your school, a Board-facing brief you did not have to write yourself, and a paper trail that is up to date the day the inspector walks in — not the day you scramble to bring it up to date. Most of our first conversations are 15 minutes — long enough to know if this is a fit, short enough that you can take the call between meetings.

Audit-ready every day of the year.
For the Deputy / Compliance Lead — the operator

"I want to bring this to my Principal."

If you are the one doing the day-to-day compliance work, you already know what is broken. The hard part is making the case upstairs. We will give you a one-pager that says exactly what the Principal needs to hear: what is in scope, what changes for the school, and what the 15-minute conversation looks like. If you want to ask questions first, you can also book a call yourself.

A real conversation in the next meeting, not another agenda item.
For the Board of Management — the ratifier

"I want a brief I can read on the bus."

You are not the operator. You need to satisfy your fiduciary duty in twenty minutes a term. The termly Board brief is written for that exact moment — plain language, clear status, the three things you should ask about at the next meeting, and the one decision the Board needs to ratify.

Compliance discharged in one termly read.
07 · Proof

Schools that do this differently.

"In ten years of running compliance for the school, I have never had a year as quiet as the one since we joined SafeSchool. That is not because there is less to do. It is because someone else is doing it with us, and they are not learning the school every quarter."

08 · Questions

The ones we hear most often.

You have direct line access to your SafeSchool Programme Manager — same person, same number — for the life of the engagement. The 1-hour HSA inspector support is in addition to that. The SafeSchool platform means there is always a current picture of where the school stands, even on the days we are not onsite.
